DUTY RESPONSIBILITIES NOMINATED CLASS DUTY Officer Check Sheet Pre Race Check List. These duties should be performed prior to duty day (say by Wednesday). 1. Ring Power Boat Crew coordinator for an update of the position regarding any likely problems, if there is a possibility of the power boats being short staffed, arrange crews from members of the Duty fleet. 2. Duty fleet to ensure that at least TWO members are rostered to attend to duties. 3. CARE - Your class will be responsible for making roles and running an after race BBQ, if scheduled, make sure your class representatives have been allocated to attend as required, including purchase of material. Also check via the consolidated program how many classes will be absent and the nature of the racing (i.e. Club Championships, Association events at BSC) So you can estimate how many roles to make.
Duty Day – Before racing. Ensure that the Club House is unlocked by 11:00 am Assign the duties set out below. · Before noon, ring Boating Weather or Yachtline (number’s in office) and write the forecast on the white board in the main club room. Ensure Race Control Officer, Duty Class Captain and Race Committee are aware of the forecast. · Liaise with Club Captain, Race Committee members and PRO as to any action which may be required in accordance with the Sailing Instructions in the case of adverse conditions. Also obtain any information required for the Information Session. · Check with the Club Captain, Race Committee to establish if there are any changes to the Sailing Instructions and that they are promulgated in accordance with the method set out in the Sailing Instructions. · Ensure that “sign on" sheet is placed on the table in the foyer and the “sign off” / retirement sheet is placed on the hook on the right hand wall outside the front door. · Organise and hold an Information Session preferably a minimum of 1 hour 30 minutes before the first scheduled race start. (Additional sessions may be arranged by Class Captains to pass on special class news.) · Prior to the information session liaise with the start boat to obtain details regarding the conditions on the course area and probable courses. · Check class performs duties allocated. · Ensure that clubhouse is locked, Canteen monies are locked away, urn and pie warmer are turned off prior to going out to race or that someone is available to supervise the clubhouse during the race.
Duty Day - After The Race. · Ensure someone is allocated to fire up the Barbeque ASAP if one is scheduled. · Monitor the radio as soon as practicable after the first boat of the Duty Class returns to the beach on completion of racing. There must be someone at the radio to answer requests from the Club's power boats if required. Check that the "Sign Off" sheet outside the front door is brought to the Radio once all boats have finished. · Check with Start Boat that all boats are accounted for. · Check if any Protest forms have been lodged and refer these to the Race Committee who will advise when protest will be heard. · Ensure that results sheets are in and that the Class Statistician or Class Captain from each Class has completed calculating their results immediately after the race and that results are announced in the Club House and phoned though to AAP (9322-8000). · Check that rostered officers from the Duty Fleet have completed all the duties assigned to them. · Ensure the Club is locked up and all equipment is stowed. · Ring the Commodore or Club Captain to advise of any problems.
Duty Class Responsibilities. Performance of duty functions is the responsibility of all members of the class. Don’t leave it up to others. It is the Duty Class's responsibility to ensure that ALL start and rescue boats are fully staffed. Ensure crews are available for start boat and two rescue boats. Prior to Racing. · Open Club House, lobby, roller shutters, upstairs door and kitchen by 11 am. · Make and put out bread rolls, ensure sufficient pies (etc are put in the pie warmer). · Ensure the mats are in place outside front door, in foyer and along corridor upstairs. · Ensure SULO bin is outside the front door. · Set up all tables and chairs in the Club House and on the balcony. · Check change rooms. Check toilet paper, paper towels, soap etc. Stock is held in the Canteen area. · Check stocks in fridge · Check (through sailing school) that pilot lights on gas heaters (bosun’s store) are still alight. · Hoist National Flag to highest hoist and hoist Club Flag on southern hoist. · Unlock and put out club trolleys. Ensure Rear Commodore is advised if repairs are needed. · Take dinghies to beach, including oars as required by PRO. · Radio On. Channel 91 is usual channel. · Undertake a radio check with all available Club Race Patrol boats. The Club House radio is a Limited Shore Station and it should control all transmissions, If there are problems with reception/transmission on channel 91, have all ship stations go to Channel 94 or other channel as appropriate and check reception again. · Set up Sign On table in Club House foyer with entry forms (sign on sheets) with date. · Put out sign off sheet on wall of front porch near the front door for yachts which retire. · Ensure front door and door to upper area of Club are locked or there is a responsible person in the area prior to racing. Ensure any heating devices in the kitchen are turned off (urn, pie warmer (etc.).
After Racing is Finished · Fire up the Barbeque ASAP if one is scheduled. · Put out hoses with trigger handles. Hoses are located in Lost Property under the stairs · Obtain race finish sheets from committee boat. Original race finish sheets and sign on sheets should be inserted in the 2 ring binder in metal cabinet near canteen. · Collect dinghies with oars and any marks (if used). Wash and stow in Bays. · Clear any rubbish or equipment left in the washing area. Wash down and store all club beach trailers in bays and put away hoses. · Lower flags and store in Club House. · Check beach and grassed area. Store any equipment and any lost property found. · Re store hoses in Lost property. · Empty rubbish bins from canteen, lobby and bays and place in the SULO bin near kerb for collection.
· Obtain race results and phone to Associated Press 9322-8000 prior to 6 pm. · Tidy up Club House: · Wipe tables, fold and store · Wipe down Canteen area · Switch off radio (not at main switch) · Sweep floor. · Secure Club House:
- Close all windows and sliding doors including door to balcony near stairwell. - Turn off all lights including those in the bays - Lock kitchen, stair door, bosun’s locker, lost property, roller shutters, and upstairs doors. - Check front door is locked and secure by trying handle. If not secure press small button in edge of door to activate lock. General I f any one wishes to stay in the Club House after 6 pm, they must have an accountable person accept the responsibility of completing the class duties and hand over to them.
